What is a vendor security questionnaire?

Published · Qlara

A vendor security questionnaire is a set of questions a buyer sends to a supplier to understand how the supplier protects systems and data. It supports procurement and security due diligence. Questions commonly cover access control, encryption, incident response, availability, privacy, and the evidence behind those controls.

Read the buyer's instructions first

Identify the product and scope under review, the deadline, and which fields the vendor owns. A workbook may separate a yes/no answer from an explanation and an evidence reference. Buyer priority, scoring, risk ownership, and internal notes belong to the buyer.

Look for an evidence register. If the buyer asks for E-01 rather than a document title, attach or reference the requested document using that convention. Do not guess a reference when the mapping is unclear.

Answer the whole question

Some questions combine several requirements. 'Do you conduct penetration tests, and what was the date of the latest test?' needs both a supported yes/no answer and an actual date. A statement that testing occurs annually only supplies the frequency.

Use precise scope and values. Distinguish the production service from authentication services when their recovery targets differ. Name the owner and approver when both are requested, and retain the exact protocol versions or retention periods supported by evidence.

Organise the response

A repeatable process helps security and commercial teams work from the same evidence without granting every contributor final approval authority.

  1. Assign a response owner and route specialist questions to the relevant control owner.
  2. Collect approved source documents and record any outstanding attachments.
  3. Draft answers in the buyer's language, with evidence references kept separate from prose.
  4. Review ambiguous claims and unanswered components before approval.
  5. Export the response and check that the buyer's questions, notes, and formulas are intact.

Using Qlara for supplier responses

Qlara helps teams import buyer spreadsheets, draft answers from approved knowledge, and review citations before exporting. It can reduce repeated copying while keeping evidence gaps visible. It does not decide whether a buyer should accept a supplier or whether a control meets a contractual requirement.

If a source is missing, collect it or leave the answer for review. A polished sentence is not evidence that the underlying control exists.
